Terms of Service

Policy version: 1.0
Effective date: July 21, 2026

1. Who we are and what these Terms cover

Scene Relay is a self-hosted WordPress software product offered by Robert Long, a sole proprietor (referred to in these Terms as “Scene Relay,” “we,” “us,” or “our”). These Terms govern your Scene Relay account, purchase, annual subscription, license-service entitlement, protected downloads, updates, and support.

Scene Relay is not a hosting service for your WordPress site. You install and operate the plugin on WordPress infrastructure that you or your hosting provider control. The events, profiles, users, subscriber records, analytics, settings, and other edition data on that site remain on that site and are not hosted by Scene Relay.

By creating an account, purchasing Scene Relay, or using the commercial services, you agree to these Terms and the linked Privacy Policy and Refund Policy. If you purchase for a business or another organization, you represent that you have authority to bind it.

You must be at least 18 years old and have legal capacity to enter this agreement. Scene Relay may be purchased by individuals or organizations. If you purchase for an organization, you represent that you are authorized to bind it.

2. The Scene Relay Standard offer

The launch offer is Scene Relay Standard for exactly $199 USD total per year. It renews automatically each year until canceled. Scene Relay does not add tax at checkout; any applicable sales, use, or similar transaction tax is included within that fixed price.

The annual subscription includes:

  • one counted production activation;
  • one companion staging activation;
  • recognized local-development installations that do not consume either allowance;
  • protected release downloads and updates during the paid term and the normal 14-day grace period; and
  • product support during the paid term and grace period, subject to the support scope below.

Scene Relay classifies installation environments using the site URL and server-side rules. Demonstrably local or non-routable development hosts are treated as local. Public hostnames are treated as production unless they match an approved staging rule or are corrected by support. You can deactivate an installation to release its counted allowance.

The offer shown and accepted at checkout controls if it differs from descriptive marketing copy. A browser or customer site cannot alter the server-side product, price, currency, billing cadence, term, or activation allowance.

3. Annual automatic renewal and cancellation

At checkout, you authorize Scene Relay to charge exactly $199 USD for one annual term and to charge exactly $199 USD on each renewal date until you cancel. No tax is added to either charge; any applicable sales, use, or similar transaction tax is included within the $199 USD total.

You may cancel automatic renewal before the next renewal charge date through Account → Billing. Cancellation stops the next renewal and takes effect at the end of the term already paid for; it does not end the current paid term early. Scene Relay currently schedules a renewal reminder approximately 30 days before the expected renewal date. Your statutory rights do not depend on successful email delivery, so you remain responsible for keeping your account email current and reviewing your account billing information.

If a paid term ends without renewal, protected updates, downloads, support, and new activations remain available during the normal 14-day grace period and then pause. The installed plugin’s core features continue to operate after lapse, and Scene Relay does not remotely delete or unpublish your content.

We may change the price or offer for a future renewal only after providing any advance notice and obtaining any consent required by applicable law. A price change will not retroactively change a term already paid for.

We will provide at least 30 days’ advance notice by email and through the customer account before a price change applies to a renewal. Where applicable law requires more notice or affirmative consent, we will follow that requirement. You may cancel before the renewal date through Account → Billing.

4. Refunds

Each initial purchase and each renewal charge is covered by a 30-calendar-day refund period measured from that charge’s date. The separate Refund Policy explains how to request a refund and what happens to the related commercial entitlement.

Canceling renewal and requesting a refund are separate actions. Canceling prevents a future renewal charge but does not automatically refund a past charge. A full refund of a paid billing cycle ends the protected service entitlement associated with that refunded cycle. It does not remotely disable the installed core plugin or delete customer-site content.

5. Software license and GPL rights

The distributed Scene Relay plugin code is licensed under the GNU General Public License, version 2 or any later version (GPL-2.0-or-later). The GPL license file distributed with the plugin governs your rights to use, study, modify, and redistribute that code. Nothing in these Terms limits rights the GPL grants you.

Your paid Scene Relay subscription is primarily an entitlement to the vendor-operated account, activation, protected-download, update, and support services described in these Terms. A subscription, license key, customer account, or activation token does not transfer ownership of those services and may not be sold, shared, or used to evade the purchased service allowance. GPL redistribution of the plugin code does not transfer a purchaser’s Scene Relay account, support entitlement, protected-download authorization, or activation credentials.

Scene Relay names, logos, product presentation, vendor-site content, and non-code branding are not licensed under the GPL merely because the plugin code is. No trademark license is granted except the limited right to identify the product accurately.

You may continue using an installed core version after the paid subscription and grace period end. Continued operation does not include a promise of future compatibility, security updates, protected releases, support, or new activation service.

6. Your account and credentials

You must provide accurate account information, keep your email address current, use reasonable account security, and promptly notify us of suspected unauthorized access. You are responsible for activity performed through your account unless applicable law provides otherwise.

Do not publish or share your complete purchase key, activation token, password, signed download link, or other account credential. Scene Relay stores purchase and activation secrets as non-reversible verifiers. A newly issued or rotated license key may be held temporarily in an encrypted envelope for one authenticated portal reveal; after reveal or expiry, recovery rotates the key rather than retrieving the old plaintext value.

We may require reasonable verification before changing account ownership, rotating credentials, releasing an installation, or disclosing account information.

A paid subscription or account entitlement may be transferred only with Scene Relay’s prior written approval and reasonable verification of both the current and proposed owner. We may refuse a transfer intended to evade an activation allowance, payment obligation, fraud review, or legal restriction.

7. Customer-controlled WordPress sites

You are responsible for your WordPress installation and for:

  • hosting, domain, TLS/HTTPS, backups, disaster recovery, server security, and WordPress administration;
  • maintaining supported WordPress and PHP versions and installing appropriate security updates;
  • configuring reliable WordPress Cron and email delivery where your edition uses scheduled jobs or newsletters;
  • reviewing and moderating content and user activity on your edition;
  • publishing terms, privacy notices, consent language, retention choices, and other disclosures suitable for your edition and jurisdiction;
  • complying with laws applicable to your events publication, organizers, subscribers, promotions, memberships, and users; and
  • evaluating third-party themes, plugins, embeds, map services, email providers, and ticket links you choose to use.

Scene Relay provides privacy-conscious settings and WordPress privacy-tool integrations, but those tools do not replace your own legal review. You decide why and how personal information is collected on your customer-controlled site and are responsible for responding to the users of that site.

You retain your rights in content and data that you or your users place on your WordPress site. These Terms do not give Scene Relay a license to centrally collect or reuse that edition content through the commercial licensing service.

8. External tickets, customer-site payments, and third parties

Scene Relay links visitors to ticket sellers selected by an event organizer. It does not provide native ticket inventory, ticket checkout, scanning, settlement, commissions, payment splitting, or payouts.

Scene Relay Pro can connect a customer-controlled WordPress site to that customer’s own supported payment-provider account for memberships and promoted placements. Provider credentials are configured on the customer’s site, and payments are processed for the customer by the provider the customer selects. Scene Relay does not receive those credentials through its vendor licensing service, hold those funds, or become the merchant for those customer-site transactions. Any ticket, membership, promotion, or other customer-site transaction is between the applicable customer, organizer, purchaser, and payment or ticket provider—not Robert Long or the Scene Relay software checkout.

You are responsible for selecting and contracting with your own payment and ticket providers; displaying their terms and privacy disclosures; handling customer service, taxes, refunds, disputes, fulfillment, and payouts for those transactions; and complying with marketplace, ticketing, consumer-protection, and payment laws applicable to your operation.

Square processes payments only for the Scene Relay software subscription sold on scenerelay.com. A Scene Relay software refund does not cover a ticket or another payment made through a customer’s event site or external provider.

Third-party services are governed by their own terms and privacy policies. We do not control their availability, pricing, security, content, or decisions.

9. Acceptable use

You may not use the Scene Relay vendor account, licensing APIs, protected package service, or support service to:

  • access another customer’s records or credentials;
  • bypass or interfere with authentication, activation allowances, rate limits, or package authorization;
  • introduce malware, exploit infrastructure, probe for vulnerabilities without written authorization, or disrupt the service;
  • commit fraud, impersonate another person, or submit unlawful payment or account information; or
  • use the service in violation of applicable law or another person’s rights.

This acceptable-use section governs the vendor-operated services and credentials. It does not take away modification or redistribution rights granted by the GPL for the distributed code.

10. Updates, compatibility, and support

We may release fixes, security updates, compatibility updates, and feature updates. We do not promise that every third-party theme, plugin, customization, host, browser, external service, or modified copy will be compatible. You are responsible for backups and appropriate staging tests before updating a production site.

Support is available at support@scenerelay.com for installation, licensing, protected downloads, documented settings and workflows, updater behavior, and reproducible defects in the current release. We target an initial response within one business day. Business days are Monday through Friday, excluding United States federal holidays. This is a response target rather than a guaranteed resolution time or service-level agreement.

Support does not include general hosting administration, site recovery, custom development, custom payment integrations, an organizer’s ticket-provider support, or refunds for tickets or customer-site transactions sold elsewhere. We may require an update to the current release before investigating an issue already addressed by that release.

11. Service changes, suspension, and termination

We may protect the vendor service against fraud, abuse, security threats, payment disputes, or material violations of these Terms. Depending on the circumstances, we may limit account access or suspend protected updates, downloads, support, or new activations while a matter is reviewed.

A confirmed full refund or lost full-amount payment dispute may revoke the related protected commercial entitlement. A partial refund or unresolved dispute may place it in review or suspension. These commercial states do not remotely disable the installed core plugin or delete edition content.

We may withdraw a compromised or unsafe release from future download while preserving its release and audit record. We may also modify or discontinue vendor-operated features with reasonable notice where practical, subject to obligations for terms already paid for.

When practical, we will notify you of a material breach and provide a reasonable opportunity to cure it before termination. We may act immediately when reasonably necessary to address fraud, security threats, unlawful conduct, payment reversal, or material harm. Upon termination or expiry, provisions that by their nature should survive—including payment records, GPL rights already granted, disclaimers, limitations, dispute terms, and accrued obligations—continue to apply.

12. Taxes

Scene Relay charges every buyer exactly $199 USD for each annual term and does not add a geography-based tax surcharge or reject checkout solely to impose one. Where Scene Relay determines that sales, use, or a similar transaction tax applies, Scene Relay records the purchaser/use location and allocates the applicable amount internally within the fixed $199 USD charge. Square processes the payment but does not calculate that internal allocation. You are responsible for providing accurate purchaser, billing, and use-location information.

Your card issuer or financial institution may separately impose currency-conversion, foreign-transaction, or other fees. Those amounts are not charged by Scene Relay and are not part of the $199 USD Scene Relay charge.

Any internal tax allocation is Scene Relay’s responsibility and does not increase the advertised or charged total. A purchaser seeking exemption treatment may contact support@scenerelay.com before purchasing; availability and required documentation depend on applicable law.

13. Warranties and disclaimers

The distributed plugin includes the warranty disclaimer stated in the GPL. The vendor-operated services depend on WordPress, hosting, internet, DNS, Square, Resend, and other systems that may experience interruptions.

To the fullest extent permitted by law, the software and vendor-operated services are provided “as is” and “as available,” without warranties of merchantability, fitness for a particular purpose, noninfringement, uninterrupted availability, or error-free operation. Nothing in these Terms excludes a warranty or consumer right that applicable law does not permit us to exclude.

14. Limitation of liability

To the fullest extent permitted by law, Scene Relay and Robert Long will not be liable for indirect, incidental, special, consequential, exemplary, or punitive damages, or for lost profits, revenue, data, goodwill, business opportunity, or business interruption arising from Scene Relay. To the fullest extent permitted by law, aggregate liability arising from the product or vendor-operated services will not exceed the amount you paid Scene Relay during the 12 months preceding the event giving rise to the claim. These limits do not apply where prohibited by law or to liability that cannot lawfully be limited.

15. Indemnification

If you use Scene Relay for a business or organization, you agree to defend and indemnify Robert Long against third-party claims, damages, and reasonable costs arising from your customer-site content, unlawful ticket or payment operations, violation of privacy or consumer-protection obligations, infringement of another person’s rights, or material misuse of the vendor-operated services. We will provide reasonable notice of a covered claim and allow you to control the defense, subject to our right to participate and to approve any settlement that imposes an admission, payment, or continuing obligation on us. This section does not require indemnification for our own unlawful conduct.

16. Governing law, venue, and disputes

These Terms are governed by the laws of the State of New York, without regard to conflict-of-laws principles, except where applicable law requires otherwise. Before filing a claim, each party will make a good-faith effort to resolve the dispute by written notice and 30 days of informal discussion. Any court proceeding must be brought in a state or federal court located in Erie County, New York, and each party consents to that jurisdiction and venue, except where applicable law gives a consumer the right to proceed elsewhere. Either party may bring an eligible claim in small-claims court.

17. Changes to these Terms

Each checkout records the version of the Terms and recurring-charge disclosure accepted for that order. We will post an updated effective date when these Terms change and provide any additional notice or consent required by law. Changes do not rewrite the recorded terms of a completed transaction retroactively.

For a material change affecting an existing subscription, we will ordinarily provide at least 30 days’ advance notice by email or through the customer account. We may make an immediately effective change when reasonably necessary for security, legal compliance, fraud prevention, or to correct an error, with notice as required by law. We will request affirmative consent when applicable law requires it.

18. General terms

You may not assign your account or these Terms except through an approved transfer under Section 6. We may assign these Terms as part of a sale, reorganization, or transfer of the Scene Relay business, subject to applicable notice requirements. If a provision is unenforceable, the remaining provisions remain effective. A failure to enforce a provision is not a waiver. Neither party is liable for delay caused by events beyond its reasonable control, except for payment obligations already due. These Terms, the accepted checkout disclosure, Privacy Policy, Refund Policy, and applicable GPL license constitute the agreement concerning the services they cover; the checkout disclosure controls the specific product, price, and billing terms for an order. Electronic communications and records may be used where permitted by law. Headings are for convenience only.
